RESULTS - Phase I (January-November 2004)
  • Comprehensive campus-wide summary of the extent, nature and risks associated with ongoing management of electronic records. This includes data on enterprise systems, office tools and their associated records (including email)
  • New records retention rules, developed in collaboration with McGill’s information technology sector and with records creators, to be applied to enterprise data and office systems/email. These rules will assist IT sectors in clearly distinguishing backup from retention functions
  • Documented review of software and technical requirements for the long-term preservation of electronic records transferred to the custody of the MUA Archives. This review has continuing implications for software selection in collaboration between the MUA and the University’s IT sector
  • Preliminary review of document management tools by senior administrative offices
  • Best practices guidelines for use by University offices in the interim management of office-based electronic records and email
  • Draft email and electronic records policies/best practices affecting University administrative records
  • Draft McGill University Scanning Policy for University offices interested in paper-less office initiatives
